How to use the CRM system.

 

CRM (Customer Relationship Management) assists organisations in tracking and managing interactions with current and potential clients. CRM aids businesses in streamlining operations, creating lasting client relationships, boosting revenues, and enhancing customer service.

A Lead can be described as the first stage of a potential sales opportunity. It represents an individual or organisation who has expressed interest in buying a service or a product. A lead is a client at an enquiry stage that you can convert into a customer once they request a quote.

 

 

Create a new lead by navigating to the CRM → New → Lead page and enter all relevant details into the boxes.

These fields include:

  • The sales representative (this is usually the account manager who is responsible for that contact).
  • The amount is how much you think the customer will spend over a period of time (over a year)
  • Chance of close is the probability of that contact becoming a customer
  • Close by: when you think they will make a decision.
  • Price Tier is a customer category defining what they will pay (See our article on price lists).

 

View existing leads by navigating to CRM → Leads.

 

 

Once general details have been entered for a lead, enter the address and contact information.

The contact information is a list of people within that organisation that you wish to track communications with.

 

 

An Opportunity is a sales prospect, requested service or product. An opportunity can be a possibility of converting a lead into a potential customer or a winning a new sales opportunity from an existing customer.

 

An opportunity is what the client is interested in purchasing, the value, and the clients’ level of interest.

 

Create a new opportunity by navigating to the CRM  New → Opportunity page, as well as being created from an existing lead or customer record. You may also view existing opportunities by navigating to CRM  Opportunities.

 

In creating a new opportunity, it will feed information you previously entered in the lead stage.

 

 

You can also view your leads in Kanban format. The Kanban Method displays a visual graphic of your opportunities and which should take priority.  You can view it by navigating to CRM  Lead/Opportunity → Kanban.

The Task module in DEAR allows you to manually assign tasks to users directly from your sales, purchases, and more.

 

Tasks can be assigned to leads, opportunities, sale orders, purchase orders, production orders, etc. The task icon is visible in the top right-hand side of a document header as seen below.

 

 

The Tasks list allows a user to see an overview of their assigned tasks. Tasks can be viewed in list or in calendar format. The tasks lists allow the user to perform actions such as moving deadlines or changing assignee for multiple tasks at once.

 

 

 

Clicking the complete button then archives that task so it comes of the to do list. View tasks by navigating to CRM  Tasks. Where you can view and filter through all tasks. This can be used by managements to make sure that the organisation is meeting deadlines. If a task is not done on time, then the manager can approach the staff member assigned.
